How to set up your office completely in the cloud.

Have you been balancing running your business while working from home, with going in to the office occasionally?

Let’s face it – working from home, at least for some of the time – will be with us for a long time to come. When you think about it, do we really even need an office at all these days? More and more companies are ditching the office, and working purely remotely! Employees can often work from home, in many cases with little more than a computer, internet connection and a phone.

So, what do you need to think about to make sure you can work fully online, or in ‘The Cloud?’

Internet and VOIP phone set-up

Have a landline number set up. These days you can have a virtual landline, or a VoIP telephone system, where the call is made over the internet, and you can control where and how the call is answered. Set it up to ring on your mobile, or to be answered by different staff at different times of the day, depending on who is available when!

A Business Address

Want to work from home, but don’t want the world having your home address? A business address looks so much more professional than using a residential address on your website, invoicing and more. A PO Box isn’t a great option either, as it lacks credibility.

A virtual address with Expost is the perfect option. It looks like a standard address, and your mail can be either physically forwarded to you, or scanned and sent electronically – helping you keep your office paperless. Setting up the Company

If it is a new business you are setting up, and you want to go down the Limited Company option (see the differences between Limited Company, Sole Trader and Partnerships here), you will need to submit an application to Companies House, who hold and administer the Registrar of Companies. Having your accounts online makes life much easier – for you, and your accountant! Other Software options

So, you have your phone system, business address, bank account and bookkeeping online, so what else might be useful?

You might want to look at software to keep track of projects, so everyone can easily access everything.  Google Documents, Dropbox, Microsoft Teams and systems such as Asana and Trello can help keep you organised. Don’t forget about social media scheduling tools like Buffer and Hootsuite to keep you and others talking about your business regularly.
